# Process Reminders — Common Failures to Avoid

  • Leaving your phone on silent. The offer expires before you see it. Keep push notifications turned on.
  • Calling the insured but not marking it. The 4-hour clock keeps running until you tap Mark Contact as Made.
  • Leaving an assignment unscheduled. If the insured cannot meet the 2-day window, message your coordinator.
  • Accepting a drone job without checking for the COA icon. Check the address line first. Without a COA you cannot submit the inspection.
  • Letting an offer expire instead of rejecting it. Reject it with an accurate reason so your coordinator can send it to someone else.
  • Using "No Longer Interested in Receiving Assignments" to take time off. It removes you from the dispatch pool. Change your status in the Menu tab instead.
  • Accepting work you cannot commit to. Accept only when you can meet the 4-hour contact deadline and the 2-day scheduling and completion window.

Remember the three clocks

90 minutes to accept or reject an offer · 4 hours to reach the insured and mark contact as made · 2 days from that call to schedule and complete the inspection.


# Rescheduling the Inspection

Use this process whenever a scheduled visit cannot go ahead as booked.

Rescheduling steps

  1. Contact the insured immediately, before the scheduled time, if the appointment must be delayed, rescheduled, or cannot be completed as planned.
  2. On the Contact tab, record the outcome by selecting a reason under "What is the reason for updating the scheduled time?"
  3. Select the applicable contact outcome from the second list: Insured contacted, Attempted to contact insured, or No attempt to contact insured.
  4. Scroll to the bottom of the rescheduling form and tap CONFIRM.
  5. After confirming, the date and time picker will appear. Select the new inspection date and time agreed upon with the insured, and then tap Done.

If you cannot find a new inspection time that works for the insured:

  • Contact your Operations Coordinator. Do not leave the assignment unscheduled.
  • Provide the reason the inspection could not be rescheduled so the coordinator can ensure the assignment is reassigned.

Never leave an assignment unscheduled

An assignment with no date and time carries a NOT SCHEDULED badge on your coordinator's console until it is booked.


# Delays, Late Arrivals and Assignment Eligibility

Unforeseen circumstances

Situations such as severe weather, technical issues, vehicle problems, illness, or family emergencies may affect your ability to complete an assignment as planned.

Communication requirement

  • Immediately contact the insured if an appointment must be delayed, rescheduled, or cannot be completed at the scheduled time.
  • Notify the OC/OM — or weekend support — through the Eberl Inspections App and/or designated channel with the reason for the delay and the updated status of the assignment.

Late arrivals

  • If you anticipate being late, contact the insured before the scheduled time and provide an updated ETA.
  • On the Contact tab, record the outcome "Spoke with the insured that I am running late but will be there shortly."

Assignment eligibility and network participation

  • Assignments are issued with the expectation that you communicate promptly when delays occur.
  • Failure to communicate with both the insured and the OC/OM may result in the assignment being reassigned.
  • Repeated failure to communicate may result in ineligibility for future assignments within the Eberl inspector Network.

# Assignment Status and Coordinator Visibility

What your coordinator sees

Your coordinator sees a badge for each task still open on your assignment. Each clears when you finish the task.

QUESTIONS INCOMPLETE The 13 questions aren't finished Clears when you submit the form

Badges are not a mark against you

They show which assignments still need action, and where your coordinator can help. Tell your coordinator early if something is blocking you.


# Working the App at the Property

Everything you do on site runs through the app. Four stages, in order — and nothing on the TASKS tab opens until you check in.

1 — Confirm the day before

  • 24 hours before the scheduled visit the app asks you to confirm you will be there. It names the property, the job number and the scheduled time.
  • CONFIRM — you will arrive as scheduled.
  • REJECT — you cannot. Call the insured straight away, then record the outcome on the Contact tab.
  • Running late is not a no-show. Call the insured, tell them, and log it.

2 — Check in when you arrive

  • Every task on the TASKS tab stays greyed out until you tap the blue CHECK IN button.
  • Check-in is what tells the system you are on site. If the tasks look broken, this is what is missing.

3 — Work the tasks in order

  • Capture selfie · Verify address · Fill out form · Take exterior images · Take drone images.
  • Add Interior, top right of the task list, adds the interior set when you gain access inside.

4 — Review and upload before you leave

  • The Review tab groups your images as Exterior, Interior and Documentation.
  • Check the thumbnails while you can still reshoot.
  • Upload per category on weak signal, or tap UPLOAD ALL.
  • IMAGES READY means captured but not yet uploaded. The assignment stays open until they land.

If something blocks you

  • Every job has its own Support tab — a message thread to your Operations Coordinator and Manager. Report a blocker from the driveway, not from home that evening.

Confirming is what prevents a no-show

The confirmation 24 hours ahead is a crucial step before every inspection, not a formality. A no-show significantly hurts your pilot rating. If you cannot make the slot, reject the confirmation and call the insured — a rescheduled visit costs far less than a missed one.
